Office Manager

 

Strata3 are looking for an Office Manager to join our expanding team, who will report into the Head of Operations. We are looking for a creative, organised individual with excellent decision-making skills and the ability to juggle competing demands.

Responsibilities

  • Front of house duties such as greeting client, making teas and coffees and answering phone.

  • organising meetings and managing calendars

  • setting up for meetings and ordering refreshments.

  • booking transport, conference and accommodation for employees

  • organising company events or conferences

  • ordering stationery, condiments including milk and furniture

  • dealing with correspondence, complaints and queries

  • preparing letters, presentations and reports

  • liaising with staff, suppliers and clients

  • implementing and maintaining procedures/office administrative systems

  • organising induction programmes for new employees with HR

  • Working closely with Operation and Finance re reporting of timesheets and other company wide report.

  • ensuring that health and safety policies are up to date

  • using a range of software packages

  • Updating and sending status report for BAU clients

  • Updating BAU contracts as per Support Manager

  • Scheduling of BAU task with support manager

  • attending meetings with senior management and taking minutes

  • assisting the organisation's HR function by keeping personnel records up to date, arranging interviews and so on.

  • Helping with updating Strata3 site and social media accounts.

  • General adhoc studio requests

Experience and qualifications required

  • Third level qualification in marketing and/or digital marketing

  • Minimum of one year’s experience in a similar role preferably in an agency environment

  • Working knowledge of digital technologies & industry

  • Proven experience of input into multiple marketing projects from initiation to completion

Candidate Qualifications

  • Excellent written and verbal communicator with keen eye for detail

  • Strong commercial acumen and proven digital marketing skills

  • Active in social media in a personal capacity

  • Ability to work independently on own initiative or collaboratively with other members of the team

  • Proven creative, organisational and decision-making skills

  • Ability to juggle competing demands, meet deadlines and produce quality outputs
